How to Plan Power, Lighting and AV for a Premium Outdoor Event Space
Power is one of the least glamorous parts of an event brief – until there is not enough of it. Good technical planning starts with an equipment list and ends with safe, coordinated distribution.
Calculate, do not guess
Screens, lighting, audio, refrigeration, catering equipment, laptops, chargers and climate control can create a significant combined demand. The electrical contractor needs a realistic schedule of equipment, expected loads and operating periods.
Plan the cable routes early
Power often arrives from outside the structure, so distribution routes must be coordinated with entrances, stairs, guest circulation and other contractors. Protecting cables after the furniture has already been installed is a poor substitute for planning them into the layout.
Lighting changes the architecture
The HEXIS Sky Lounge can feel very different after dark. Architectural lighting can reveal the carbon-fibre geometry, create atmosphere and reinforce a brand palette. Task lighting is equally important at bars, counters, stairs and work areas.
AV needs viewing geometry
A screen is only useful if guests can see it. Screen height, orientation, daylight, glare, speaker positions and viewing distances should be considered alongside furniture and circulation. Outdoor brightness and ambient noise can require different equipment from an indoor conference.
Keep technical suppliers coordinated
The best results come when structure, power, AV, graphics and fit-out are managed as one environment. Changes to one element can affect another, so a single coordinated plan reduces late surprises on site.
