The short answer is: as soon as the event date, venue and concept are credible. Premium structures are limited assets and the busiest summer dates are shared by many sectors.
Availability is only the first reason
Securing the structure matters, but early booking also creates time for site surveys, organiser approvals, engineering review, graphics, fit-out design, production and logistics. These are the stages that turn a structure hire into a successful event environment.
Major events work backwards from opening day
The public opening is the final deadline, not the start of the programme. Before that come structural installation, technical fit-out, graphics, furniture, testing, cleaning, client inspection and handover. Each activity needs space in the build schedule.
Bespoke work needs design time
If you want custom counters, unusual lighting, specialist AV or significant branding, allow time for design development and approval. Last-minute creativity often costs more because it removes the opportunity to manufacture efficiently or test ideas.
Site information can take time to obtain
Underground-service plans, organiser manuals, access permits and venue approvals are not always available immediately. Starting early gives the project team time to resolve missing information rather than carrying uncertainty into the build.
